TO DO List is Not Working
We all have long struggled with completing our TO Do list on time. I have myself made long list of To-Dos one after the other HOPING that I will feel great when I get done with the To-Dos but sadly it never gets completely done and I start with the same struggle every new morning.
But then I saw Mel Robbins, Millionaire Morning Rituals course on her website and realized how I was doing it all wrong. I had a number of DIFFERENT kinds of things to do every single day. And moving from one kind of task to another became the biggest challenge. My mind, while performing one type of task had gotten used to the task and developed a pace for doing that task, when I disrupted that and ordered it to take up a different kind of task, right away. Instead of accomplishing things exponentially, I found myself stuck in a sine wave, where every new task was starting from zero.
I found that the momentum I had gathered while performing the first task was suddenly lost and for the new task I had to build it all over again. This start – stop-start of tasks started to consume more than required energy and enthusiasm.
How Manufacturing Units Function
If you have seen any manufacturing unit or line, (History Channel), you will notice that each line is only supposed to do one task at a time.
In a manufacturing unit, one person only takes care of one task. One guy will make front panels, another will make back panels, another will make only zippers, another will make only handles and the helper will only put pullers into the zippers.
This allows everyone to focus only on one aspect of the bag. Because they do it again and again, they get better at it and the quality improves. Also, they can now do the same task faster, over a period of time.
“One Project Per Day” For Your Business.
As solo-preneurs, we don’t have a team of people working for us. But we can use the same tactic on a daily basis. For example, if we have to publish one marketing video per day, then we can ALLOCATE one day per week ONLY to shooting and editing 7 videos for the next 7 days. Same goes for blogs and other promotional materials.
One day would only be a learning day, where you quieten your environment and just watch videos and take notes and plan on how to implement the same in your business.
Project Work Day(s)
I know some people will object to this. They will say “how can I work on only one project in one week. Wouldn’t that lead to money loss?”. Well, no. Because without even you knowing it, the project is getting delayed anyways. By doing 5% of project work every day, you are stretching the project to over a month or so. But what if you give yourself only 1 day for that project. Wouldn’t you be pressured to finish that project in that day.
Now, I do understand that I am talking with respect to my website project but you could have a different type of project that could take longer. This instruction is specifically for my Digital Divas who build websites and do Digital Media Marketing. I teach how to make a website in 2-3 Days (Feel Free To Join My 90 min FREE Webinar), I myself make websites in that duration, and I recommend that instead of doing 5% work every day, try to do 30-40% work in one day and plan your projects accordingly.
You could also allocate two projects days per week.
Sales is a very important activity for any business but if you start taking or making sales calls or strategy calls every now and then, then it will interrupt the flow of your present project of the day (marketing, learning, project etc). Instead, allocate a day only for Sales. I use Calendly as a scheduling tool and have only Fridays open for strategy calls. This way, I can give my 100% attention to the prospect and understand his or her complete requirement than be distracted on other days.
Similarly, if you have no strategy calls scheduled on that day, then you could MAKE COLD CALLS that day and also filter out a list of businesses who could be interested in your services.
Strategy Day is different than learning day. You could be learning about a lot of different topics (technical, operational, business-related or just general research about how the market is progressing but the strategy is the roadmap on how you are going to scale your business, grow your business.
Allocate one day to only working on the strategy of your business. What you are doing wrong, What you are doing right, What is working, What is NOT working, What is your long term vision, what is your short term vision, are you following through on your vision, are you skilled enough to scale up, etc.
As entrepreneurs and solo-preneurs FUN is the last thing on our minds. We get so involved with the projects at hand, that we forget to spend a day with ourselves, doing things that we love to do and recharge ourselves. As a result, we don’t take a break, and after 2-3 months you feel completely exhausted and you start to question yourself and that you are on the right track or not.
Instead, just have fun one day without worrying about your clients. Smell the roses, watch a movie, have a nice rich meal, spend time with family and rejuvenate yourself for the week to come.
This is my plan for productivity, on getting more done in a week than getting nothing done at all. Let me know your thoughts.
